Frequently asked questions
Answers to common questions about setup, customization, subscriptions, and day-to-day usage.
How do I use the Season Progression page? +
Go to Performance > Season Progression in the sidebar. Select an athlete to see their event-by-event development across seasons, including best marks, improvement percentages, career bests, and within-season timelines. You can filter by event, compare two athletes side-by-side, and print the report.
What does the PR Gaps section show? +
PR Gaps shows the average number of days between Personal Records for each event. It helps coaches understand how frequently an athlete is breaking through and identify events where improvement has stalled.
How does the Comparison Mode work? +
On the Season Progression page, use the "Compare With" dropdown to select a second athlete. The season table switches to a side-by-side view showing each athlete's best mark per season and the difference between them.
What are Coach Notes on Season Progression? +
Coach Notes let you add coaching observations tied to a specific athlete and optionally tagged to an event. Notes are saved instantly via AJAX and appear at the bottom of the page. Great for tracking qualitative observations alongside quantitative data.
How do I use Team Analytics? +
Go to Performance > Team Analytics. It has four tabs: Depth Chart (ranked athletes per event), PR Velocity (rate of improvement per meet), Streaks (consecutive improvement runs), and Head-to-Head (matchup records between teammates in the same event).
What is the Depth Chart? +
The Depth Chart ranks all athletes in each event by their best mark for the current season. It shows who your #1, #2, #3 athletes are per event, their trend (improving or declining), meet count, and PR count. Use it to decide meet entries.
What does PR Velocity measure? +
PR Velocity shows how much an athlete is improving per meet in each event. For example, "-0.45s/meet" means they're dropping nearly half a second each competition. Athletes with the steepest improvement curves appear at the top.
How does the Goal Setter work? +
Go to Performance > Goal Setter. Set target times, distances, or heights per athlete per event. The system auto-tracks progress from season bests, calculates the gap to the goal, shows weekly improvement rate, and rates achievability as Close, Stretch, Ambitious, or Long-term.
How do I set up weather on the dashboard? +
Weather now uses the National Weather Service API and requires no API key. Just enter your school's coordinates in the weather settings. The dashboard will show current conditions, practice recommendations, and meet-day advisories automatically.
What are the Qualifying Center tabs? +
The Qualifying Center combines five pages into tabs: Dashboard (overview of who qualifies), Standards (state qualifying standards), Watchlist (athletes close to qualifying), Suitability (event fit analysis), and Import (load standards from a file).
How does the smart search work? +
Press Ctrl+K (or Cmd+K on Mac) to open the search. Type to find athletes by name, meets, FAQs, or any platform feature. Use arrow keys to navigate results and Enter to open. Recent searches are saved for quick access.
Can I print the Season Progression report? +
Yes. Click the Print button in the top-right corner of the Season Progression page. The print view hides navigation and formats the content for clean paper output.
What are Improvement Streaks? +
On Team Analytics > Streaks, you can see athletes with consecutive improvements in an event across meets. A streak of 3+ means the athlete improved their mark three meets in a row. This helps identify athletes who are peaking.
How does Head-to-Head tracking work? +
When two teammates compete in the same event at the same meet, the system tracks who had the better mark. Team Analytics > Head-to-Head shows win-loss records with a visual bar. Useful for deciding between athletes for limited entries.
What does the Percentile badge mean? +
On Season Progression, each event shows a "Top X%" badge indicating where the athlete ranks in the team distribution for that event in the current season. "Top 17%" means they're in the top 17th percentile of the team.
How do Goal Lines appear on charts? +
If you've set a goal for an athlete's event in the Goal Setter, a dashed green "GOAL" line appears on their Season Progression chart. This shows how their actual performance compares to the target visually.
How do I import results from Athletic.net? +
Use the TFxCPro Chrome Extension. Navigate to a meet results page on Athletic.net, click the extension icon, and it extracts your team's results. The data syncs to TFxCPro via the Import API with auto-season detection and event name normalization.
What events are supported? +
TFxCPro supports all standard track and field events: sprints (55m-400m), distance (800m-10000m, Mile), hurdles (55mH-400mH), relays (4x100m-4x800m, DMR, SMR), jumps (HJ, LJ, Triple Jump, PV), throws (Shot Put, Discus, Javelin), and multi-events (Pentathlon, Heptathlon, Decathlon).
How does the attendance notification work? +
The system automatically detects when an athlete has 3 or more consecutive absences and sends a notification through the bell icon. This helps coaches catch attendance patterns early.
What is the Compliance page? +
Compliance tracks required paperwork for each athlete: signed physicals, emergency contacts, signed waivers, and other documents your organization requires. It shows a completion percentage and flags athletes with missing items.
How do I create a recruiting profile? +
Go to Season > Recruiting Profiles. Select an athlete, fill in their GPA, test scores, height/weight, highlight video URL, coach contact info, and a bio. Click Save to generate a shareable public link. Send the link to college coaches — it shows the athlete's PRs, season progression, and contact information. You can track how many times each profile has been viewed.

Is TFxCPro FERPA compliant for storing athlete physical forms? +
Yes. TFxCPro stores physical examination documents outside the publicly accessible web directory, behind authenticated access controls. Every access to physical records is recorded in a tamper-resistant FERPA access audit log with user identity, IP address, and timestamps. The platform requires consent acknowledgment before record creation and supports configurable data retention policies.
Does TFxCPro handle compliance and paperwork? +
Yes. The Compliance Center tracks physicals, emergency contacts, signed waivers, and COPPA consent for athletes under 13. It shows completion percentages per athlete and flags missing items so nothing falls through the cracks.
How does TFxCPro protect student health records? +
Physical examination forms are stored in a secure private directory that cannot be accessed directly via URL. All file downloads go through an authenticated endpoint that verifies the user belongs to the correct organization. Access is logged with user identity, IP address, timestamp, and action type. The platform enforces HTTPS encryption in transit and provides data retention controls.
Can I see who accessed a student physical record? +
Yes. Navigate to Compliance then FERPA Access Log to view a complete audit trail. The log shows who accessed what, when, from which IP address, and what action they took. This log cannot be edited or deleted and satisfies FERPA recordkeeping requirements under 34 CFR 99.32.
What is the data retention policy for physicals? +
Each organization can set their own data retention period (1-7 years) in the Physicals Tracker. When records exceed the retention period after expiry, authorized users can purge them permanently. All purge actions are logged in the FERPA access log.
Is there a community forum? +
Yes. TFxCPro includes a built-in Community Forum where coaches can share strategies, ask questions, and connect with other track and field coaching programs. Single sign-on means no extra account to manage.
Can I cancel at any time? +
Yes. You can cancel your subscription at any time. There is a 30-day grace period during which your data is preserved in case you change your mind. After that, your organization data is securely removed.
Do you offer team or district pricing? +
Yes. If you manage multiple schools or programs, contact us for district-level pricing. We can set up multiple organizations under one billing arrangement with shared admin access.
How is TFxCPro different from a spreadsheet? +
Spreadsheets break down at scale. TFxCPro automates PR detection, season-over-season comparisons, qualifying standard tracking, attendance alerts, and injury monitoring. It connects your roster to your results to your analytics — something no spreadsheet can do reliably across a full season.
